Please note:  This position has the possibility to work remotely up to 100% of the time.  The position will require occasional travel to the Phoenix corporate offices and/or site locations.  This position may be performed anywhere in the U.S. except California, New Hampshire, Michigan, Illinois and New York.  Additional states may be excluded from remote work based on business factors.  Should the position shift to in-office work in the future, the company will offer relocation benefits at that time should the position meet the established eligibility for these benefits.

Description

 

 

Coordinate with concentrate customers, supervisors, ship broker and the Portsite loading team regarding key milestones of each shipment such as vessel nominations, shipping orders, vessel itineraries, sailing notifications, and supervisor appointments. Administer timely payment of PT-Freeport Indonesia ("PT-FI") copper concentrate freight and supervision invoices, including audit and verification that invoices are accurate and in compliance with each Contract of Affreightment ("COA") and supervisor terms, and prepare each wire payment request. Prepare, evaluate and negotiate laytime settlements with customers. Support the Logistics Supervisor on all Logistics activities.

  • Audit provisional and final freight invoices submitted by shipping companies, ensuring invoices are accurate and in compliance with each CO
  • Resolve invoice discrepancies with freight, ship broker commission, and supervisor invoices.
  • Prepare broker and supervisor invoices for payment, administer wire payment requests and secure management approval for payment.
  • Enter freight and supervisor invoices in SAP and coordinate with Accounts Payable to ensure invoices are paid within the contractual time allowed.
  • Request and ensure annual COD documents for freight and supervisor vendors are current and comply with Indonesian tax law.
  • Ensure accurate DGT forms are included with each freight and supervisor invoice in order to meet Indonesian tax requirements
  • Prepare and distribute all relevant shipping correspondence to customers, including vessel nominations, sailing notifications, supervision/umpire appointments and vessel updates.
  • Coordinate B/L instructions, hold stowage, port rotation and LOI customer requests with broker.
  • Prepare and distribute all relevant correspondence with port site including shipping orders, supervisor arrangements, and supervisor instructions for samples and weights.
  • Input and maintain logistics information in SAP including vessel nominations, loaded weights, cost documents, and final settlement weights.
  • Organize numerous Logistics communications, notices, and reports for each concentrate shipment and maintain a unique shipping file for each shipment
  • Evaluate costs and quality of supervision services and advise management of any discharging issues
  • Coordinate the appointment of supervisors at load port to ensure proper arrangements are in place with the load port personnel.
  • Coordinate distribution of samples with customer, supervisor and umpire to ensure prompt analysis.
  • Routine communication with each customer's logistics staff to answer questions and ensure accurate execution of the terms and conditions in each customer's contract.
  • Monitor and evaluate weight discrepancies at load port and discharge port and raise discrepancies to management's attention
  • Act as Logistics liaison with Accounting and Port Site on month-end matters including split ship details and freight accruals.
  • Communicate shipping schedule changes to Sales Administration staff, as needed.
  • Assist Director Sales Administration and Logistics and Logistics Supervisor with logistics related matters.
  • Prepare and evaluate laytime statements from the ship broker and customers and negotiate settlements.
  • Support SAP system including recurring regression testing to approve global system.
  • Maintain SAP script manual.
  • Support internal and external audits as required.
  • Serve as back-up role for Logistics Supervisor.
  • Assist with training intern as needed.
  • Perform other duties as requested

Qualifications

 

Minimum Qualifications:

  • Five (5) years experience in a Logistics Administration or similar role
  • Intermediate skills in Microsoft Office software
  • Highly organized, self-confidence and strong interpersonal skills
  • Ability to deal directly with customers. Superior verbal and written communication skills
  • Hardworking, creative, and results-oriented
  • Ability to adapt to change and work with a minimum amount of supervision.

 

 

Physical Demands & Work Environment:

 

  • Location requires mobility in an office environment; each floor is accessible by elevator. Occasionally work will be performed in a mine, outdoor or manufacturing plant setting.
  • Must be able to frequently sit, stand and walk.
  • Must be able to frequently lift and carry up to 10 pounds.
  • Must be able to work in a potentially stressful environment.
  • Personal protective equipment is required when performing work in a mine, outdoor, manufacturing or plant environment, including hard hat, hearing protection, safety glasses, safety footwear, and as needed, respirator, rubber steel-toe boots, protective clothing, gloves and any other protective equipment as required.
