Purpose of the Position:

Reporting to the Superintendent, Information Operations, this individual is responsible for ensuring efficient administrative functions and supporting various administrative aspects of the security team including scheduling, coordinating training requirements, ensuring appropriate supplies (both PPE and technical materials) and the like.

Key Responsibilities:

  • Provide comprehensive administrative support to the Risk Management team particularly for training.
  • Ensure that guarding rosters are prepared by the outsourced guarding vendor in advance, with a focus on employing only vetted and approved guards.
  • Ensure assigning of posts randomly.
  • Maintain consistent and effective communication with the guard vendor, serving as the primary contact for any administrative vendor-related issues.
  • With the outsourced guarding vendor, manage data for the creation of daily, weekly, and monthly reports, including:
  • Attendance records.
  • Security post logs (Mutation Books).
  • Mobile patrol reports.
  • Incident reports (when applicable).
  • Dashboards.
  • Monitor and report any vendor non-compliance issues related to payment and other administrative matters.
  • Organize and coordinate staff briefings and meetings.
  • Collaborate with team members to coordinate product shipment activities.

Background, Education and Work Experience:

  • At least one (1) year of administrative experience in a guarding company. 

And/or:

  • Previous administration experience at a multinational company; or extractive industry such as mining/oil & gas; or on a large construction project.
  • Familiarity with PTFI operations preferred.
  • Graduated SMA (high school diploma).
  • Higher education qualification such as technical college or university is preferred.
  • Ability to communicate in both Bahasa Indonesia and English is preferred.
